This Privacy Policy describes how Sapiura Systems LLC ("Pronvi", "we", "us" or "our") collects, uses, shares and protects personal information when you visit pronvi.com (the "Site"), communicate with us or use the Pronvi platform and related services (together, the "Services"). Pronvi is a trade name of Sapiura Systems LLC.

Please read it carefully. If you do not agree with it, do not use the Site or the Services. Capitalized terms not defined here have the meaning given in our Terms & Conditions.

1. Controller

Sapiura Systems LLC, a limited liability company organized in Wyoming, United States, with its mailing address at 7345 W Sand Lake Rd, Ste 210, Office 3330, Orlando, FL 32819, USA, is the controller of the personal information of the Site, of people who contact us and of our customers. For any privacy matter, write to us at hola@pronvi.com.

2. Scope and our two roles

This policy applies to: (a) visitors to the Site; (b) people who request a demo, subscribe to communications or contact us; (c) our business customers and their authorized users ("Customers"); and (d) the clients, patients, contacts and prospects of our Customers ("End Contacts").

For (a), (b) and (c) we act as controller. For End Contacts, whose data our Customers upload or collect through the platform, we act as a processor or service provider: we process that data only on the Customer's instructions, and the Customer is responsible for complying with the law toward its End Contacts, informing them and obtaining any required consent. If you are an End Contact, please direct your requests to the business you deal with; we will help it respond.

3. Information we collect

Information you provide:

  • Identifiers and contact data: first and last name, email, phone number, company name, job title and address.
  • Business and account data: information about your business, users, passwords (stored encrypted), settings, templates, content and files you upload.
  • Billing data: billing address and tax information. Card data is collected and processed directly by our payment processor (Stripe); we do not store full card numbers.
  • Communications: messages, emails, chats, forms, reviews, support requests and, when the Customer enables it, call recordings and transcripts.
  • Preferences: language, communication preferences and consents given or withdrawn.

Information collected automatically:

  • Technical and usage data: IP address, browser and device type, operating system, pages visited, access date and time, referring URL and platform event logs.
  • Approximate location derived from your IP address.
  • Local storage or cookie data, as described in section 12.

Information from third parties:

  • Platforms that you or the Customer connect (for example Google, Meta, WhatsApp, calendars or payment gateways), to the extent authorized by that connection.
  • Service providers that help us with billing, fraud prevention, messaging registration verification or call handling.

We do not request special categories of data (health, racial or ethnic origin, political opinions, religion, biometrics, sexual orientation, criminal records) or government identification numbers. Please do not enter them into the Services unless agreed with us in writing in advance.

4. How we use information and legal bases

  • To provide, set up, maintain and support the Services, including onboarding your account (performance of a contract).
  • To answer your inquiries, schedule demos and send you proposals (pre-contractual steps at your request).
  • To process payments, issue invoices, keep accounting records and meet tax, legal and regulatory obligations, including carrier registration requirements (legal obligation and performance of a contract).
  • To protect the security and integrity of the Services, detect and prevent fraud, spam and abuse, and enforce our agreements (legitimate interests).
  • To analyze use of the Services to improve them and develop new features (legitimate interests).
  • To send you marketing about our own services where you consented or the law allows it; you can object at any time (consent or legitimate interests).
  • To handle claims and establish, exercise or defend legal rights (legitimate interests and legal obligation).

We do not make decisions based solely on automated processing that produce legal or similarly significant effects on you.

5. Text messages (SMS) and calls

If you give us your phone number and expressly agree to receive text messages from Pronvi, we will send you messages about your request, your account, appointment reminders and, if you consented, marketing communications. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out or HELP for help. Consent is not a condition of purchasing any goods or services.

We do not sell, rent or share mobile phone numbers with third parties or affiliates for marketing or promotional purposes. All categories of information and recipients described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, except with the providers that deliver the messaging service and solely for that purpose.

Calls with us may be recorded for quality and training purposes when you are informed at the start of the call.

6. Artificial intelligence

Some features of the Services use third-party artificial intelligence models to generate replies, handle chats and calls, and transcribe, summarize or classify conversations. To do so, the information each feature needs is sent to those providers, which process it under their contracts with us. We do not use the personal information of our Customers or their End Contacts to train our own models, and where the provider offers it, we contractually require that it not be used to train their general models.

AI-generated replies may contain errors. People interacting with an AI agent will be informed of it where the law requires.

7. Who we share information with

We do not sell personal information. We only share it as follows:

  • Service providers acting on our behalf, under contract and with confidentiality and security obligations: our software platform provider (CRM, messaging and automations), telephony and SMS, email, payment processing, artificial intelligence, cloud hosting and storage, support and productivity tools.
  • Third-party platforms that you or the Customer choose to connect (for example Google, Meta or WhatsApp). Their use of information is governed by their own policies.
  • Phone carriers and industry registries (for example The Campaign Registry) when needed to register the Customer's messaging brand and campaigns.
  • Authorities, courts or other third parties when required by law, court order or legal process, or when necessary to protect the rights, property or safety of Pronvi, our Customers or others.
  • A buyer, successor or investor in connection with a merger, acquisition, financing, reorganization or sale of assets, subject to confidentiality obligations.
  • Any other third party with your consent or at your direction.

8. International transfers

We are a US company and our providers may process information in the United States and other countries whose data protection laws may differ from those of your country. When we transfer personal information from the European Economic Area, the United Kingdom or Switzerland to countries that do not provide an adequate level of protection, we use appropriate safeguards such as the Standard Contractual Clauses approved by the European Commission or the recipient's participation in the EU-US Data Privacy Framework, together with supplementary measures where appropriate. You may request a copy of those safeguards.

9. Retention

We keep personal information for as long as needed for the purposes described: during the contractual relationship and afterwards for applicable statutes of limitation and the periods required by tax and accounting rules. Data of prospects who do not become customers is kept for up to 24 months from the last contact. When the Services end, the Customer may export its data for 30 days; after that we delete or anonymize it from our active systems, and backups are overwritten in their ordinary cycles, unless the law requires us to keep it.

10. Security

We apply reasonable technical, administrative and organizational measures appropriate to the risk, such as encryption in transit, role-based access controls, authentication, activity logs and selection of providers with recognized security certifications. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security breach affects your personal information, we will notify you, the Customer or the authorities as and when required by law.

11. Your rights

Depending on where you live, you may have the right to:

  • Know what personal information we process and access it.
  • Correct inaccurate or incomplete information.
  • Request deletion of your information.
  • Object to or request restriction of processing.
  • Receive your information in a structured format and transmit it to another controller (portability).
  • Withdraw consent at any time, without affecting the lawfulness of prior processing.
  • Opt out of direct marketing and related profiling.
  • Not be discriminated against for exercising your rights.

To exercise them, write to hola@pronvi.com stating the right you wish to exercise. We may ask for information to verify your identity and will respond within the legal deadlines (usually one month in the EU and 45 days in the US, extendable where the law allows). You may act through an authorized agent, who must prove their authorization.

Residents of the European Economic Area, the United Kingdom or Switzerland: you may also lodge a complaint with the supervisory authority of your country, for example the Spanish Data Protection Agency (AEPD) or Portugal's Comissão Nacional de Proteção de Dados (CNPD).

Residents of California and other US states with comprehensive privacy laws (such as Virginia, Colorado, Connecticut, Utah, Texas or Oregon): in the last 12 months we have collected the categories of information described in section 3 (identifiers, commercial information, internet activity information, professional information and approximate geolocation data), from the sources and for the purposes stated in sections 3 and 4, and disclosed them for business purposes to the categories of recipients in section 7. We do not sell personal information or share it for cross-context behavioral advertising, and have not done so in the last 12 months. We do not process sensitive personal information to infer characteristics. If we deny your request, you may appeal by replying to our communication; if your appeal is denied, you may contact your state attorney general.

12. Cookies, local storage and privacy signals

The Site does not use third-party advertising or tracking cookies. We store your theme preference (light or dark) in your browser's local storage, which is strictly necessary for the functionality you request. To display some fonts, your browser connects to Google Fonts, which receives your IP address under its own privacy policy.

The platform our Customers use relies on strictly necessary cookies for login and security. If we add analytics or non-essential cookies to the Site in the future, we will ask for your prior consent where the law requires and update this policy. We honor opt-out preference signals such as Global Privacy Control where the law requires.

13. Marketing communications

You can stop receiving our marketing emails via the unsubscribe link in each message, and our text messages by replying STOP. Even if you opt out, we may still send you transactional or account-related communications.

14. Third-party links

The Site and the Services may contain links to or integrations with third-party sites and services. We are not responsible for their privacy practices and encourage you to review their policies.

15. Children

The Services are intended for businesses and not for anyone under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

16. Changes to this policy

We may update this policy from time to time. We will post the current version on this page with its update date and, for material changes, notify Customers by email or through the Services before they take effect.
